A simple guide to caring for your hire items during your event.
Our furniture and event pieces are used again and again across weddings, parties and celebrations, so a little care during your hire helps us keep them looking their best for the next event too.
You don’t need to treat everything like it belongs in a museum — just use a little common sense, keep items protected from obvious damage, and let us know if something happens.
Before your event
When your hire items arrive, take a moment to check that everything is where it should be and that the pieces are ready for use.
If you notice anything unusual, damaged or missing, let us know as soon as possible so we can help.
For larger bookings, it is also a good idea to make sure the items are being placed in suitable areas before guests arrive.
Keep furniture on suitable surfaces
Where possible, keep furniture on stable, level surfaces.
Avoid placing indoor furniture where it may be exposed to rain, mud or excessive moisture, and be mindful of uneven ground that could make tables, chairs or other items unstable.
If you are unsure whether a particular item is suitable for outdoor use, ask us before the event.
Protect timber furniture
Timber furniture is designed to be used and enjoyed, but it can still be marked by heat, moisture and spills.
Where possible:
- wipe spills promptly
- avoid leaving wet items sitting on timber surfaces
- use coasters or protective layers under very hot items
- avoid dragging sharp or heavy objects across table tops
- do not use harsh cleaning products
A soft damp cloth is usually enough for small spills.
Please do not use bleach, abrasive cleaners, strong chemicals or scouring pads on hire furniture.
Food and drink spills
Spills happen — especially at events.
If something is spilled on a table, chair, rug, lounge or other hire item, the best thing you can usually do is attend to it early.
Blot or wipe the area gently rather than scrubbing aggressively.
For upholstered furniture, rugs or more delicate items, avoid applying cleaning chemicals unless we have specifically advised you to do so.
If you are unsure, contact us and we can tell you the best way to handle it.
Chairs and stools
Please use chairs and stools as they are intended.
Avoid:
- standing on chairs or stools
- rocking back on chair legs
- dragging furniture across rough surfaces
- stacking items unless they are designed to be stacked
- using chairs or stools as makeshift ladders
If furniture needs to be moved, lifting it rather than dragging it helps protect both the hire item and the venue floor.
Lounges, cushions and soft furnishings
Keep upholstered furniture and cushions protected from rain, wet grass and muddy areas.
If bad weather is expected, move soft furnishings under cover where possible.
Please also avoid placing food, drinks, candles or other items directly on lounge seating where they may spill or mark the fabric.
Rugs
Rugs should be kept as dry and clean as possible during the hire period.
If using rugs outdoors, place them on a suitable surface and avoid areas where they may become saturated, muddy or damaged.
Please do not tape, staple or permanently secure rugs to floors or surfaces unless this has been discussed with us beforehand.
Lighting and electrical items
Electrical hire items should be kept away from water unless they are specifically designed and supplied for outdoor use.
Please do not modify, rewire or dismantle electrical equipment.
If something stops working, contact us rather than attempting to repair it yourself.
Umbrellas and outdoor items
Weather can change quickly, so please keep an eye on outdoor hire items throughout the event.
Umbrellas should not be left open in strong winds or severe weather.
If conditions become unsafe, close umbrellas and secure or move lightweight items where practical.
For marquees, lighting structures or other installed items, follow any instructions provided at the time of delivery or setup.
Candles and open flames
Please be careful when using candles, heaters or any other open flame near hire items.
Candles should always be placed in suitable holders and positioned so wax, heat or flame cannot damage furniture, rugs or other equipment.
Never place open flames directly on or against hire furniture.
Moving items during your event
We understand that layouts sometimes change once an event is underway.
If you need to move furniture, please lift rather than drag it wherever possible.
For large, heavy or installed items, contact us before moving them if you are unsure.
Some equipment is positioned or assembled in a particular way for safety and should not be relocated without guidance.
What if something gets damaged?
Accidents can happen.
If an item is damaged, broken or lost during your hire, please let us know as soon as possible.
Don’t try to hide the damage or make permanent repairs yourself.
In many cases, knowing what happened helps us work out the best way to repair the item.
A 7.5% Damage Waiver applies to hire bookings and provides some protection for accidental damage, subject to the terms of the waiver.

Before collection
Before we return to collect your hire items, please make sure everything is:
- together in the agreed collection area
- free from personal belongings
- reasonably tidy
- accessible to our team
- protected from rain or weather where necessary
Please remove decorations, tape, cable ties, flowers, rubbish and other personal items from the hire equipment before collection.
You do not need to professionally clean the furniture before we arrive. Normal cleaning and preparation between hires is part of what we do.
Please don’t over-clean
Sometimes trying to remove a mark with the wrong product can cause more damage than the original spill.
If something is stained or marked and you are not sure what to use, leave it as it is and let us know.
We would much rather assess and clean it properly than have a surface damaged by bleach, solvents or abrasive products.
A few things worth remembering
Spills are easier to manage when they are dealt with early. A quick wipe or gentle blot can make a big difference.
Lift furniture rather than dragging it. It helps protect both our furniture and your venue.
Keep indoor pieces protected from weather. If rain is coming, move vulnerable items under cover where possible.
Don’t use harsh cleaners. If you’re unsure what to use, contact us first.
Tell us if something happens. Accidents are much easier to deal with when we know about them.
